ROLE & RESPONSIBILITIES

About the Role:

The Finance Officer for Ghana will be in charge of accounting and documenting all financial transactions in a timely and accurate manner for East-West Seed Knowledge Transfer Foundation (EWS-KT) Ghana.

Work Relationships:

This position will work under the functional support of the EWS-KT Finance Manager and in direct coordination with the Knowledge Transfer Manager for Ghana.

Responsibilities:

This position is responsible for: 

  • Effective accounting of expenses
  • Timely and accurate documentation reported to EWS-KT Ghana, EWS-KT global, and partner organizations 
  • Regular communication with the EWS-KT Ghana field team and participation in EWS-KT Ghana meetings to better understand team members’ activities
  • Timely completion of tax compliance activities and other regular compliance activities 

Result Areas and Essential Tasks:

  • Administer routine finance functions, ensuring that all work is carried out in accordance with established procedures and systems and that financial controls and procedures are adhered to
  • Prepare monthly financial accounting reports 
  • Follow up on project budgets and upload reports from QuickBooks on a monthly basis 
  • Prepare monthly Project Monitoring Reports, including reconciliation of transfers made, advance follow-up, filing control system, running cost follow-up, etc.  
  • Manage and forecast organizational cash flow, working in partnership with EWS-KT Ghana team members
  • Consistently analyze financial data and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly, and annual financial statements 
  • Assist EWS-KT in the annual budgeting and planning process; administer and review all financial plans and compare to actual results, with a view to identifying, explaining, and correcting variances as appropriate
  • Oversee the year-end procedure and ensure that all financial returns are completed accurately and on time  
  • Maintain the filing system on a daily basis, including scanning and filing of supporting documents  
  • Assist in handling bookkeeping, following accounting principles
  • Monitor and track purchase indents, coordinating with the purchase department for purchase orders, GRNs, and bills
  • Maintain the fixed asset register and perform depreciation calculations
  • Prepare revaluations and foreign currency account reconciliations
  • Undertake any other duties as assigned 

Compliance Responsibilities:  

  • Audit-related functions, NGOAB compliance, partner financial reporting compliance, VAT and tax regulation and reporting, and any other duties as needed
  • Coordinate with third-party audit agencies for financial auditing and handle the audit inquiries related to EWS-KT Ghana
  • Prepare and assist with developing audit schedules for the annual audit  
  • Report to authorities on tax matters and any related matters according to country rules and regulations  
  • Suggest improvements in processes to increase organizational effectiveness

QUALIFICATIONS

  • A university degree with finance or accounting specialization
  • 5-6 years of professional experience, including 2-3 years of experience managing the finance function of an organization in the development sector 
  • Strong computer skills in MS Office programs, particularly Excel; knowledge of Google Workspace applications; data extraction skills for preparing reports
  • Familiarity with double-entry accounting software
  • Solid budget management experience  
  • Strong financial analysis skills 
  • Strong organizational skills and attention to detail
  • Good oral and written English
  • Clear understanding of finance and procurement ethics 
  • Ability to interact effectively with international and national staff members 
  • Ability to work quickly and accurately and to meet deadlines
  • Excellent analytical and planning skills 
  • Experience working in a multidisciplinary team  
  • Experience with accounting procedures of international donors is a plus
